Arctic Ambassador Program — Terms & Conditions

These Terms & Conditions set out how the Arctic Ambassador Program operates. The program is operated by Lapland Cosmetics Oy (“Lapland Cosmetics”, “we”, “us”, or “our”).

By applying to or participating in the Arctic Ambassador Program, you confirm that you have read, understood, and agree to these Terms & Conditions.

 1. About the program

The Arctic Ambassador Program enables approved partners to earn commission by recommending Lapland Cosmetics products through a personal affiliate link and discount code.

Participation is by application only, and acceptance is at our discretion.

2. Eligibility

To join, you must operate as a registered business and provide a valid Business ID (Y-tunnus). The program is intended for registered businesses and professional partners, including but not limited to:

* Beauty professionals
* Salons and spas
* Content creators
* Bloggers
* Retail businesses
* Other registered businesses

Private individuals without a Business ID may take part by invoicing through a light-entrepreneur service, provided that service handles their invoicing and taxes. If this applies to you, please contact us directly so we can arrange the right setup.

To apply, you must:

* Be at least 18 years of age
* Provide accurate and complete information
* Comply with all applicable laws and regulations in your country

We reserve the right to accept or decline any application without providing a reason.

3. Approval and participation

Submitting an application does not guarantee acceptance into the program. We reserve the right to approve, decline, suspend, or terminate any Ambassador account at our discretion.

4. Relationship of the parties

You participate in the Arctic Ambassador Program as an independent partner. Nothing in these Terms & Conditions creates an employment, agency, partnership, or joint venture relationship between you and Lapland Cosmetics Oy. You have no authority to enter into agreements, make representations, or incur obligations on behalf of Lapland Cosmetics, and you must not present yourself as doing so.

5. Affiliate link and discount code

Upon approval, you will receive:

* A personal affiliate link
* A personal discount code
* Access to the Ambassador Dashboard

* A PR package

Sales generated through your affiliate link or your personal discount code may qualify for commission.

6. Commission structure

You begin at a commission rate of 15% on qualifying sales. Your rate increases according to the cumulative number of unique customers you refer through your affiliate link and/or discount code:

| 1–9 customers | 15% |
| 10–19 customers | 20% |
| 20–29 customers | 25% |
| 30+ customers | 30% |

Once you reach a commission tier, that rate remains in place. It does not reset or revert to a lower level.

Commission is calculated on the net product value of a qualifying order. Shipping charges, taxes (including VAT), and any discounts applied at checkout are excluded from the commission calculation. Commission is based on the number of unique customers referred, not the total number of orders placed. Where the same customer makes multiple purchases, this counts as a single referred customer. We reserve the right to exclude the following from customer counts and commission calculations:

* Cancelled orders
* Refunded orders
* Chargebacks
* Fraudulent transactions
* Duplicate customer accounts
* Self-referrals

Only approved and successfully completed orders qualify for commission. Your current commission rate and referral statistics are available in the Ambassador Dashboard.

7. Referral tracking

Referral links are tracked for approximately 30 days using browser cookies. Sales generated through your personal discount code may also qualify for commission. We cannot guarantee referral tracking in circumstances involving disabled cookies, browser restrictions, ad blockers, technical failures, or other circumstances beyond our control. We are not responsible for commission lost as a result of tracking failures or technical limitations.

8. Returns, refunds, and chargebacks

Commission is paid only on completed orders that have not been refunded. If an order is cancelled, refunded, disputed, or charged back, the related commission may be reduced or cancelled, or deducted from a future payout.

9. Payouts

Commission is generally processed monthly. The following payout methods are available:

Stripe automatic payouts. This requires you to connect a free Stripe account through the Ambassador Dashboard. The onboarding process is provided and managed by Stripe.
Manual bank transfer at the end of each month. Provide your bank details in the notes field of your Ambassador Dashboard, or we will email you to request them.

Each payout is accompanied by a payout statement, available in your Ambassador Dashboard for your records.

If you choose manual bank transfer, you are responsible for providing accurate bank account details. We are not responsible for delayed or failed payments resulting from incorrect or incomplete payout information.

A minimum payout threshold of €50 applies. Balances below this amount will roll over to the following payout period until the threshold is reached.

We reserve the right to adjust payout schedules, payout methods, and the minimum payout threshold where necessary.

10. Taxes and VAT

You are solely responsible for declaring your income, paying any applicable taxes, and complying with the tax and reporting requirements in your country. We do not provide tax advice.

Commission rates stated in these Terms & Conditions are exclusive of VAT. How VAT is handled depends on your VAT status:

If you are registered for VAT in Finland, VAT is added on top of your commission at the applicable rate and shown on your payout statement. You must provide a valid VAT number, and you are responsible for declaring and remitting this VAT to the relevant tax authority.
If you are not registered for VAT, no VAT is added to your commission, and you receive the commission amount without VAT.
If you are a VAT-registered business in an EU country other than Finland, the reverse charge mechanism may apply. In this case, your payout statement will show 0% VAT and a “Reverse Charge” note, and you are responsible for accounting for VAT in your own country.
If you invoice through a light-entrepreneur service, VAT is handled by that service, and you are paid in accordance with its terms.

You must provide your correct VAT status and accurate billing information, and keep this information up to date. We are not responsible for any tax consequences resulting from incorrect or incomplete information you provide.

We issue payout statements on your behalf for the commission you earn. By participating in the program, you agree to this self-billing arrangement. You agree not to issue separate invoices for the same commission, and to notify us promptly of any change to your VAT registration status. This does not apply where you invoice through a light-entrepreneur service, in which case that service’s invoice governs.

11. No income guarantee

Participation in the program does not guarantee any particular level of income or earnings. Any examples of potential earnings are illustrative only and do not represent a promise of results.

12. Promotional guidelines

You must promote Lapland Cosmetics honestly and responsibly. You must not:

* Make false or misleading claims
* Make unauthorised medical claims
* Misrepresent Lapland Cosmetics products
* Engage in spam or deceptive marketing practices
* Use unsolicited email marketing
* Run paid advertising on Lapland Cosmetics trademarks or brand keywords without our prior written permission

You are responsible for complying with all applicable advertising, endorsement, and disclosure laws in your country. Where required by law, you must clearly disclose your relationship with Lapland Cosmetics.

13. Self-referrals

You may not use your own affiliate link or discount code for personal purchases. We reserve the right to decline or reverse any commission resulting from self-referrals.

14. Competing brands

While you are an active Ambassador, you agree not to actively promote, represent, or participate in affiliate, ambassador, or similar programs for competing skincare brands whose positioning, concept, or core proposition is substantially similar to that of Lapland Cosmetics.

This does not prevent you from using or discussing products from other cosmetic brands in a general, non-promotional context. We reserve the right to determine, at our discretion, whether a particular brand constitutes a direct competitor for the purposes of this program.

15. Intellectual property

All trademarks, logos, photographs, graphics, and marketing materials provided by Lapland Cosmetics remain the property of Lapland Cosmetics Oy.

You may not register domain names, social media accounts, or business names that may cause confusion with the Lapland Cosmetics brand. Permission to use Lapland Cosmetics materials may be withdrawn at any time.

16. Confidentiality

During and after your participation in the program, you must keep confidential any non-public information you receive through it, including commission terms, dashboard data, and any business information shared by Lapland Cosmetics. You must not disclose such information to third parties without our prior written consent.

17. Data protection

We process your personal data — such as your name, contact details, billing information, and payment details — in order to operate the program, in accordance with our Privacy Policy . By participating, you acknowledge this processing.

Where you collect or process personal data in connection with your own promotional activities, you are responsible for complying with the General Data Protection Regulation (GDPR) and any other applicable data protection laws.

18. Suspension and termination

We may suspend or terminate your participation in the program with immediate effect if:

* You breach these Terms & Conditions
* Fraudulent activity is suspected
* You make false or misleading claims
* Your conduct damages the reputation of Lapland Cosmetics
* You engage in spam or deceptive practices

We also reserve the right to terminate any Ambassador account at any time and for any reason.

Termination ends your right to future commission but does not affect commission already earned on qualifying completed orders.

19. Changes to the program

We reserve the right to modify our commission structure, payout methods, program requirements, and these Terms & Conditions. Continued participation in the program following any update constitutes acceptance of the revised Terms & Conditions.

20. Limitation of liability

We are not liable for indirect, incidental, special, or consequential damages, including loss of revenue or commission, resulting from technical failures, interruptions, tracking errors, database failures, or circumstances beyond our control.

We make no guarantee that the program or its related systems will operate without interruption or error.

21. Indemnification

You agree to indemnify and hold harmless Lapland Cosmetics Oy against any claims, losses, liabilities, damages, and reasonable costs (including legal fees) arising from your breach of these Terms & Conditions, your promotional activities, or your violation of any applicable law or third-party rights.

22. General provisions

These Terms & Conditions constitute the entire agreement between you and Lapland Cosmetics Oy regarding the Arctic Ambassador Program and supersede any prior discussions, understandings, or agreements relating to it.

If any provision of these Terms & Conditions is found to be invalid or unenforceable, the remaining provisions remain in full force and effect.

You may not transfer or assign your participation in the program, or any rights under these Terms & Conditions, without our prior written consent. We may assign our rights and obligations to a successor or affiliated entity.

We will communicate with you using the email address associated with your Ambassador account. It is your responsibility to keep this address current.

We are not responsible for any failure or delay in performing our obligations caused by events beyond our reasonable control.

23. Electronic acceptance

By submitting an application and participating in the Arctic Ambassador Program, you acknowledge and accept these Terms & Conditions electronically. Such electronic acceptance has the same legal force and effect as a handwritten signature.

24. Governing law

These Terms & Conditions are governed by and interpreted in accordance with the laws of Finland. Any disputes arising from participation in the program are subject to the jurisdiction of the Finnish courts.
